Duties
GENERAL SUMMARY In charge of all aspects of eSoms Scheduling for the assigned shop within the Maintenance department. Provide technical and administrative support for multi-discipline Maintenance group. Have strong knowledge of the union contract. PRINCIPAL ACCOUNTABILITIES Own and manage the eSoms Fatigue Management (PQ&S) process for assigned areas. Continually review and analyze scheduled work, travel, training, overtime, etc. to ensure compliance with 10CFR26 fatigue order is maintained at all times, as well as ensuring overtime call outs stay within the union guidelines. Run reports and make recommendations to management on OT availability for emergent work and added scope on schedule activity; Provide direction on training/travel assignments directly to the craft once scheduled in eSOMs; Responsible for callouts for overtime assignments, filling rotation schedules, updating PT slips, shift swaps, training, craft work hour changes; Maintain overtime list updates, including determining when to add/remove workers; Ensure the correct application and administration of the Nuclear Bargaining Unit Contract, Letters of Agreement (LOAs) as they apply to scheduling issues; Run and analyze reports to support bi-weekly eSoms Payroll audits; Watch bill Creation/Instantiation; Manual Shift Additions; Overtime List Re-Zero (yearly); Fill special shifts in accordance with bargaining unit contract/create special shift letters; Schedule and facilitate quarterly Fatigue Management meetings; Support the other shops in all scheduling duties due to absences of co-workers; Support the Maintenance Manager’s admin in their absence. Maintenance multi-discipline specific functions: Provide support to bargaining unit personnel - Maintain vacation (man loading) calendar; PT, training, union meetings, medicals, mask fits, travel dates, rotation schedules for each crew Solicit, organize and provide recommendations to management for first and second choice vacation request (yearly); Review and schedule first/second choice vacations; Review man-loading calendar, training and rotation schedule prior to approval. Update eSoms and man loading calendar Complete absent tracking forms; Travel arrangements and expense reports; Coordinate all travel arraignments, create travel authorization, register employee, update eSoms, man-loading, rescheduling training/meetings, delegation (manager/supervisors), organize travel packet, complete travel expense report for reimbursement; Maintain shoes/glasses and cold weather gear; Monitor training coming due and upcoming training opportunities; Schedule quarterly cycle/block training, specialty and off-site training; Schedule medicals and mask-fits; Provide the appropriate paperwork; Provide training, medicals, mask fits notifications; Create memos (special shift letters, opportunity letters, removal of shift letters, travel letters, etc.) Assign and remove individual qualification groups; Support USA Travel Arrangements Out process and in process individuals Time entry Calculate cash advances Complete expense reports Man-loading administrator Maintain and update mechanic shop dashboard for job assignments; Update yearly rotation schedule, vacation, training; Provide weekly update of available hours; Update weekly ERO roster, as needed; Hold augmenting ERO position; Support refueling outages and forced outages including nights, weekend and holiday coverage; Support 40+ personnel for online and 90+ personnel during refueling outages; Provide coverage for the other Maintenance Component Groups’ technical support specialists; Act as back-up for department administrative assistant. Packages - Run and review work order closure report; Print and pull package requests on demand; Work request transmittals to send to records. Administrative duties: Maintain component group’s manager and supervisors’ schedules; Read/respond to correspondence; Control and monitor mechanic shop credit card expenditures; Reconcile monthly credit card statements; Order office supplies and parts for craft; Maintain and order PPE and safety supplies for Maintenance, (Fastenal; I&C shop specific); Meetings (Scheduling, print materials, review actions); Update electronic monitors in shop; Monthly Meetings Postings (MDM, All Employee); Initiate, track and close AR’s; Weekly review of approved reports to identify required refresher training; Travel arrangements and expense reports for supervisors and manager; Review Time and Labor for approval, create time modifications for payroll, when needed; Update org charts; Delegation of Authority for manager; Write Work Requests as needed (remove file cabinets, etc.); Write ITSR as needed (for computers, phones, etc.); Schedule interviews/complete interview paperwork; Complete new hire, employee change and visitor paperwork; Process gold cards; Sort mail, deliver; Revalidation and BOP reports; Fitness-for-Duty Contact; Provide support as required for the processing of training records, assign individual qualifications in Asset Suite/PQD at the direction on management; Schedule and maintain documentation working with Access Authorization, for all I&C personnel requiring Critical Group qualifications; Maintain call in line, send out AR report daily for Maintenance (I&C Shop specific). Outage duties: In process all temporary employees; Time entry and review; Enter watch bills and schedule in eSoms; Outage work schedule by crew and qualification; Obtain and Issue PPE; Scheduled additional training; Out process, term badge, fill out appropriate paperwork for HR, ensure whole body count (WBC). REQUIRED EDUCATION AND EXPERIENCE Requires a Bachelor’s degree in a business, technical or science related field and at least four years of advanced administrative or technical experience; OR An Associate’s degree in a business, technical or science related field and at least seven years of advance administrative or technical experience; OR A high school diploma/GED and at least seven years of progressive administrative or technical experience in a highly technical work environment.
Compensation
Pay Range $34.71 - $52.07 Hourly Midpoint: $43.39 Typically, selected candidates are hired between the minimum and midpoint of the range, based on applicable experience and qualifications, market rate, internal equity, and budgetary allowances. Offers will be negotiated based on each candidate's qualifications. Incentive Compensation This role may be eligible to participate in our annual incentive plan.
